Campus Mail Center


GENERAL INFORMATION

The Campus Mail Center (CMC) accommodates the needs of the University units for the distribution of interoffice communication, department circulars and bulletins.  The CMC also delivers U.S. and campus mail to and from the East St. Louis Higher Education Campus and School of Dental Medicine (Alton).  Following are the dispatch times for the campuses.

Campus Mail Delivery (Edwardsville) - Campus mail carriers begin mail delivery at 10:00 a.m., Monday through Friday.

East St. Louis Higher Education Campus - Mail is dispatched at 1:00 p.m., Monday through Friday.

School of Dental Medicine (Alton) - Mail is dispatched at 7:30 a.m., Monday through Friday.
 


POLICIES 

The Campus Mail Center accommodates the needs of University units for the distribution of interoffice communication, incoming and outgoing SIUE business mail.  To use the Campus Mail Center for services, the user must have a valid university account number.

All unaddressed or unlabeled University communication, circulars and bulletins which are distributed through the Campus Mail Center MUST pertain to University business and are subject to approval by SIUE Mailing Services.  A completed University Unlabeled Mail Distribution Form (click here to download) signed by the appropriate administrative officer (items numbered 1-4 are to be completed by requestor). Bulletins must indicate the name and/or unit responsible for originating the correspondence. A copy of the bulletin must also be attached to the form. Unlabeled flyers to the University community will be distributed one per box (250 copies) on a "post or circulate" basis.

Any unit in need of purchasing stamps and/or postcards for SIUE business use must complete a Departmental Stamp Requisition form and have it signed by the Fiscal Officer.  

Personal mail sent through the campus mail system must have the appropriate U.S. postage affixed.

Campus envelopes should be used for items distributed through campus mail. Addresses should include the individual's full name and campus box number. Initials or room and building numbers are NOT acceptable. Departmental letterhead envelopes should not be used for campus mail.

METERED MAIL POLICIES

A Postage Charge Slip (account number barcode) (Form XI-B) must be completed and attached to a University unit's outgoing U.S. mail.  Additional charge slips can be obtained by written request (memo or email) to the Branch Post Office, Box 1015.  mail  cannot be processed without this postage charge slip (account number barcode).

All outgoing University meter mail must have a complete SIUE return address in the upper left hand corner and have a Postage Charge Slip attached to the mailing.

The postage machine can seal No. 10 business envelopes.  The department must seal any envelopes larger than a No. 10 envelope.

Large mailings should be faced, flaps up and trayed using USPS mailing trays.

Flyers must be at least 0.007 inches thick, folded at the top and tabbed at the bottom.  Staples are prohibited as they can cause damage to the postal machinery.  Tabbing is recommended and can be provided by the SIUE Mailing Services.

Glossy postcards cannot be metered; therefore, perforated stamps must be requisitioned from the SIUE Mailing Services using the Departmental Stamp Requisition form.

A stamped card or postcard must be of uniform thickness not more than 6 inches long, 4-1/4 inches high, or 0.016 inches thick.  The minimum piece dimensions are 3-1/2 inches by 5 inches and at least 0.007 inches thick.
